Lead Librarian

- Maintaining a safe, pleasant, clean, inviting, and useful environment for all patrons.
- Staying current on the state of ERPL assets, including the circulating collection, the online catalog, and items on display.
- Adding new material and removing outdated material from the collection, and updating the catalog as appropriate.
- Liaising with the New Mexico State Library, to stay apprised of filing requirements and dates, state and federal grant programs, and any other information that may affect ERPL accreditation as a library.
- Managing schedules for ERPL employees.
- Instructing desk librarians on library practices and computer usage.
- Creating a monthly or bi-monthly newsletter to distribute to patrons.
- Meeting with community members to identify needs ERPL may address and promoting collaboration with local individuals and organizations (e.g. NNMC, public schools).
- Maintaining a collection that is of the highest value to the community at large, in consultation with patrons.
- Making a monthly report to the Board of Directors, including accomplishments and upcoming issues of the Library Services Team and other teams that report to it.
- Presenting Board directives to the staff, and bringing staff concerns that cannot otherwise be resolved to the attention of the Board, in conjunction with Human Resources.
- Spanish language skills preferred.

Community Services Team Leader
Reports to the Lead Librarian. Responsibilities include:
The ideal candidate will have a background in event management, communications, and working with others as part of a team.
This is a part-time position, the number of hours to be determined by the specific needs of ERPL on a weekly basis. Salary is $21 per hour.
Reports to the Lead Librarian. Responsibilities include:
- Planning community events, such as the holiday party, pancake breakfast, and Chocolate Chocolate.
- Planning eductional events, such as field trips, presentations by outside parties, STEM preparation, learning to read for kids, learning Spanish for kids, learning robotics and 3D printing.
- Organizing community support events, such as health and substance abuse presentations.
- Co-ordinating cultural history events, such as the fruit tree project, history of the area, and traditional arts and crafts such as quilting and music.
- Ensuring that event presenters and attendees are scheduled and planned for well in advance.
- Ensuring all events will be open to the community at large.
- Submitting written proposals for all events to the Lead Librarian for approval, including a anticipated costs, anticipated revenue, staff and/or volunteers who will be needed, and proposed dates and times. Events in excess of guidelines in the Policy and Procedure manual will be presented to the Board of Directors for approval.
- Ensuring that all event advertisements are produced in both English and Spanish to reach a broad, inclusive audience.
- Posting event notices in multiple public areas, such as post offices, the Abiquiú news, and providing the notice to the Information Management team to place on the library website. Paid notices, for example in the Rio Grande Sun or Santa Fe Reporter, may be posted on a case-by-case basis if justified.
- Gathering information from the community regarding events that would be desirable, and services other than events that the library can offer to the community.

Finance Team Leader

The ideal candidate will have a background in nonprofit accounting, recordkeeping, governmental reporting, understanding of government rules and regulations, tax preparation, risk assessment, and "shopping for deals".
This is a part-time position, the number of hours to be determined by the specific needs of ERPL on a weekly basis. Salary is $21 per hour.
Reports directly to the Board. Responsibilities include:
Finance
- Keeping the books of the Corporation using computer-based accounting software.
- Processing employee payroll, including collecting timesheets and creating payroll checks and stubs.
- Paying Corporate bills from the Corporate checking account, and acting as a gatekeeper to other teams to help keep expenses down.
- Developing procedures whereby management can authorize the library to purchase needed supplies and equipment, including special rules for restricted funds such as GO Bonds.
- Implementing a cash management policy to earn interest on idle funds.
- Providing quarterly and annual financial reports to the Board, and apprising the Board of upcoming financial issues.
- In coordination with Information Management, staying up to date with new bookkeeping and record keeping services and software available in the marketplace, and proposing to the Board changes that will improve efficiency and best practices, and lower costs.
- Ensuring that best practices are used when recording financial transactions in the accounting software, and that the books comply with Generally Accepted Accounting Principles.
- Acting as a resource to other teams to help ensure prudence in spending library funds.
- Acting as a resource to provide information to teams about what is necessary to maintain 501(c)(3) status; monitoring for violations and proposing corrective action to the Board.
- Acting as a resource to provide information about non-profit best practices.
- In coordination with Information Management, managing an electronic record keeping system; backing up electronic records to multiple physical locations for security; providing access to such records to the Board and to Management, as needed; and using industry standards in storing all computer-based records.
- Filing all necessary State and Federal payroll forms, such as Federal 940, 941, W-2, 1099, New Mexico WWT and WKC, and DWS.
- Filing non-payroll reports, such as Federal 990, NM Secretary of State annual report, NM Attorney General COROS report, and others needed.
- Following the Document Retention Policy of the library.
- Ensuring that all library insurance, including but not limited to unemployment, worker's compensation, indemnity, and property insurance, is kept up to date. Informing the Board of significant changes to coverage and/or pricing as soon as they are known.
- Assessing financial risk at the library in coordination with other teams, and reporting such risk to the Board.

Fundraising Team Leader

The ideal candidate will have a background in fundraising and grant writing, and will be comfortable communicating with grantors, donors, and state agencies.
This is a part-time position, the number of hours to be determined by the specific needs of ERPL on a weekly basis. Salary is $21 per hour.
Reports to the Lead Librarian. Responsibilities include:
- Serving as the primary fundraiser for the library, all library stakeholders, and organizations to secure financial support and sponsorships.
- Developing and maintaining strong relationships with donors, grant-making organizations, and local businesses to ensure sustainable funding for the library’s programs and services.
- Seeking out new grants that we are eligible for, and applying for those grants.
- Submitting paperwork to existing grantors on a timely basis to ensure that existing grants are renewed or continued.
- Staying aware of all grant restrictions, such as restrictions on what they may be spent for, and timetables for when funds must be fully disbursed.
- Communicating with the State Library to stay aware of Grants-in-Aid, GO Bonds, and other state grant opportunities, keeping aware of the compliance and reporting requirements for those grants, and working with other teams to be sure required reports are submitted on time.
- Speaking with civic organizations, fundraising groups, and other interested parties, to promote the services that the library offers and its value to the community, in co-ordination with Community Services.
- In co-ordination with Finance and Compliance, tracking restrictions and reporting requirements that grantors have placed on grants, and ensuring the library's compliance with those restrictions and reporting requirements.
- Co-ordinating with Community Services, Library Services, and Finance and Compliance to make sure that individual donations can be easily made by patrons, incorporating old and new technologies as best suits patrons and the library.

Human Resources Team Leader
Reports to the Lead Librarian. Responsibilities Include:

Reports to the Lead Librarian. Responsibilities Include:
- Co-ordinating with other teams to be aware of labor needs.
- Advertising for new positions as needed.
- Screening applicants for new positions, along with the appropriate team leader.
- Performing job intake for new hires.
- Performing exit interviews and final paperwork for employees leaving the library.
- Ensuring that all Federal, New Mexico, and local laws are followed in the hiring and termination processes.
- Mediating staff disputes.
- Implementing personnel policies and procedures as specified in the Policies and Procedures manual.
- Staying apprised of all Federal and New Mexico labor and employment laws, and informing relevant teams when significant changes that might impact the library occur.
- Staying abreast of planned changes in library business direction, so as to be aware of possible future staffing needs.

Information Management Team Leader
Reports to the Lead Librarian. Responsibilities Include:
The ideal candidate will have a background in IT operations and software assessment, and will be comfortable with technical jargon and software functions and usage.
This is a part-time position, the number of hours to be determined by the specific needs of ERPL on a weekly basis. Salary is $21 per hour.
Reports to the Lead Librarian. Responsibilities Include:
- Implementing the library's document retention policy.
- Assisting other teams in finding cost-effective software that meets their needs.
- Liasing with Kit Carson Internet and IT vendors to ensure the library's Internet, internal network, and computer equipment function at peak efficiency.
- Staying apprised of new developments in library, accounting, document management, and other relevant software so that information can be shared with other teams.
- Staying apprised of new hardware that might be useful to the library, and sharing that information with other teams.
- Developing security strategies to prevent viruses, trojans, and malware from infecting library computers, and to guard against inappropriate web site access for children.
- Keeping track of license expiration dates for online services (Biblionix, Kanopy, Libby, etc.) and desktop apps, and informing Finance of renewal dates and amounts in a timely fashion.
- Regularly updating computer apps to the latest version.
- Maintaining computers, printers, fax machine, phones, and software. Liasing with providers as needed.
- Performing backups of critical online data onto local hard drives on a regular basis.

Infrastructure Team Leader
Reports to the Lead Librarian. Responsibilities Include:
The ideal candidate will have a background in physical plant maintenance and/or construction, and be familiar with competitive bidding.
This is a part-time position, the number of hours to be determined by the specific needs of ERPL on a weekly basis. Salary is $21 per hour.
Reports to the Lead Librarian. Responsibilities Include:
- Staying aware of the state of the physical plant (lighting, heating, plumbing, equipment, furniture, building, etc.), either by direct observation or via reports from library patrons or employees, and making plans to repair or replace items that need service.
- Apprising the Lead Librarian of building maintenance and repair issues.
- Maintaining the grounds of the library.
- Evaluating building safety and security, and proposing improvements to these.
- For those repairs, maintenance, or improvements (RMI) approved by the Board, or which can be approved by the Infrastructure Team Leader per the library Policies and Procedures manual, performing the RMIs if they are able, or finding vendors to perform those RMIs.
- Creating Requests for Proposals and/or Requests for Quotations when repair or maintenance work needs to be put out to competitive bid, as specified in the Policy and Procedures manual.
- For repairs or maintenance that might cause disruptions to patrons or library activities, coordinating such work with other teams.
- Seeking out advancements in energy efficiency to help reduce library overhead costs.
- Seeking out government and grant programs to help pay for repairs and maintenance, in conjunction with Fundraising.
